Let buyers pay invoices from their account
Where: Customer account → Delegate console → Payments tab Who: You turn it on; your company admins and finance contacts use it Requires: the Payments plan (or Governance) + Shopify Plus
This lets a B2B buyer sign in to their customer account, open the Delegate console, and make a payment toward their company's outstanding invoices on their own — no cashier needed. They enter an amount, OnAccount spreads it across the unpaid orders, and they're handed an invoice to pay.
⚡ Needs the Payments plan and Shopify Plus. Collecting company payments is on the Payments plan (or Governance), and it relies on Shopify Plus capabilities (B2B manual payments and saved/vaulted cards), so the store must be on Plus too. On non‑Plus stores this collection feature isn't available — but monthly statements still work (see below).
How it works for the buyer
- A company admin or a finance contact opens the Delegate console in their customer account and selects the Payments tab.
- They pick a currency where there are outstanding orders in more than one. Their company's outstanding orders load — the whole company, across every location.
- They enter an amount (capped at what's payable); it's spread most overdue first, then soonest due, then oldest, with a preview of what each order will receive.
- They continue to a generated invoice and pay it. Once paid, the payment is split across the underlying invoices automatically.
Payment is always company‑wide — there is no per‑location payment step. Anyone who can pay can pay against any of the company's outstanding orders.
Before you start
- You're on the Payments plan (or Governance). See Getting started.
- Your store is on Shopify Plus (required to collect payments).
- Delegate is turned on for the company and the Delegate console is added to your customer accounts. This is the surface the Payments tab lives on — set it up in Set up Delegate (Steps 1–2).
- The company's Payments module is enabled in Delegate (it's on by default on the Payments plan).
- The company has at least one company admin, and optionally one or more finance contacts (see below).
Set it up
There's no separate extension to install — the Payments tab rides on the Delegate console you already add to customer accounts.
Step 1 — Make sure buyers can reach the console
Follow Set up Delegate, Steps 1–2: turn Delegate on for the company, assign a company admin, and add the Delegate console to your customer accounts. Once that's done, the console appears in the buyer's account for the people allowed to see it.
Step 2 — Turn on the Payments module
In Delegate, open the company and make sure its Payments module is on. When it's off, the Payments tab doesn't appear in the console for anyone at that company. (The module is on by default on plans that include company payments.) You control this per company, and store-wide by default — see Choose which features each company gets.
The Payments module also carries the monthly outstanding statement — an automatic email of a company's open orders to an accounts-payable recipient list. It's set up alongside this feature; see Monthly statements.
📄 Not on Shopify Plus? The Statements side still works. On a non-Plus store the Payments tab is hidden and the statement email goes out without the "View and pay in your account" button — your buyers get their monthly outstanding-order statement, they just settle it with you directly instead of paying through OnAccount. Only the payment collection needs Plus.
Step 3 — Decide who can pay
Two OnAccount roles can use the Payments tab, both company‑wide:
Role | What they can pay | Where you set it |
|---|---|---|
Company admin | The whole company's outstanding orders. | Delegate → the company (assign an admin), or the Admin role switch in the merchant contacts table. |
Finance contact | The whole company's outstanding orders. | Delegate → the company contacts (the Finance role switch), or a company admin toggles it in the console's Add / Edit staff screen. |
Everyone else — ordering‑only staff and buyers who aren't admins or finance — cannot pay, and simply don't see the Payments tab.
A company admin can already pay, so designating a finance contact is only needed when you want someone other than the admin to handle payments.
What the buyer sees
- A currency selector when there are orders in more than one currency. Payments apply only to orders in the selected currency; orders in other currencies appear separately with a prompt to switch.
- Their company's outstanding orders — each showing paid, pending, and outstanding amounts, the due date, and an "N days overdue" badge where it applies.
- An amount field with an allocation preview showing what each order will receive.
- A Continue to payment button that creates the invoice.
Test it quickly
- Sign in as a company admin (or a finance contact) of a company with outstanding orders.
- Open the Delegate console → Payments tab → the company's orders load.
- Enter a partial amount → confirm it's allocated most‑overdue‑first → continue → you get an invoice to pay.
- Pay the invoice → after a moment, the company's outstanding balance drops by that amount, split across the right invoices.
- Sign in as an ordering‑only staff member → the Payments tab isn't there.
Troubleshooting
What you see | What it usually means |
|---|---|
No Payments tab in the console | The buyer isn't a company admin or finance contact, the company's Payments module is off, or you're not on the Payments plan (or Governance). |
The console link isn't there at all | Delegate isn't on for the company, there's no company admin, or the Delegate page/nav block isn't added to customer accounts — see Set up Delegate Steps 1–2. |
Orders don't appear | The wrong currency may be selected, or balances are still catching up. Switch currency and retry. |
Payment didn't reduce the balance | The invoice hasn't been paid yet, or the split is still processing — it applies once the invoice is paid. |
