Collect company payments at POS

Where: Shopify POS app → Collect Company Payment tile Who: Cashier Requires: the Payments plan (or Governance) + Shopify Plus

This lets a cashier take a payment toward a business customer's outstanding balance from the register. You enter an amount; OnAccount spreads it across the company's unpaid orders for you. Payment can be taken three ways: charge a saved card, record a manual payment (cash, cheque, etc.), or email an invoice.

⚡ Needs the Payments plan and Shopify Plus. Collecting company payments is on the Payments plan (or Governance), and it relies on Shopify Plus capabilities (B2B manual payments and saved/vaulted cards), so the store must be on Plus too. On non‑Plus stores this feature isn't available.

Before you start

  • You're on the Payments plan (or Governance). See Getting started.
  • Your store is on Shopify Plus (required to collect payments).
  • Your store uses Shopify B2B and the customer is a company contact.
  • The company has outstanding (unpaid) B2B orders — these balances are kept up to date automatically.
  • To charge a saved card: the order needs a saved (vaulted) card on file, which comes from how the buyer was set up in Shopify B2B. Locations without a saved card are simply skipped in card mode — use manual or invoice for those.

Set it up

1. Add the tile to your POS grid

  1. In Shopify admin, go to Settings → Point of Sale and open the POS grid editor. This is a one‑time, global setup — it applies to all your registers.
  2. Under Page 1 (or another page), click Add tile.
  3. Select Embedded Apps, then choose the OnAccount Collect Company Payment extension.
  4. Click Save.

The POS settings page: Sales channels → Point of Sale → Settings.

The POS grid editor: Add tile → Embedded Apps → Collect Company Payment.

2. Register your manual payment method names (for manual payments)

Choose which manual payment methods you want to offer in the POS lump‑sum payment option (for example, Cash, Cheque, Bank Deposit). You add these once, and they appear in the manual‑payment picker at the register.

Each name has to match exactly the corresponding method in Shopify admin → Settings → Payments → Manual payment methods — that's how the payment gets attached to the right method.

  1. Open the OnAccount app → Settings → Manual payment methods.
  2. Add one row per method you want to offer, typing each name exactly as it appears in Shopify (matching capitalization and spacing), then Save.
  3. At the register, the manual‑payment picker shows these names.

An "Other" option is always available, even if you've configured nothing — it records the payment without a specific method name. Use it for one‑off methods you haven't registered.

How a cashier uses it

  1. Add the B2B customer to the cart. No products are needed — this pays down existing invoices, not the current cart.
  2. The Collect Company Payment tile shows the company's outstanding balance when it's ready. It's disabled if there's no customer, the customer isn't B2B, or there's nothing outstanding.
  3. Tap the tile to reach the Setup screen:
  • Target — pay against the whole company or a single location.
  • Payment method:
    • Charge saved card — pick the saved card per location.
    • Manual payment — record cash, cheque, bank deposit, etc.
    • Send invoice — email the buyer an invoice to pay themselves.
  1. Enter the amount. It's capped at what's actually payable. OnAccount spreads it across orders automatically: most overdue first, then soonest due, then oldest.
  2. Review the per‑order breakdown, then:
  • Send invoice → the buyer is emailed; you're done.
  • Charge card / manual → the Processing screen applies each order in turn. You can pause, retry, or skip if one fails.
  1. The Complete screen summarizes what was collected per order, the total, and any remaining balance.

A note on currency

A company may have orders in more than one currency. The Setup screen lets you pick the currency; the amount you enter and the allocation apply only to orders in that currency. Switch currency to pay invoices in another.

What's not configurable yet

There's currently no setting for who may collect a company payment, or whether a given staff member can collect company‑wide vs. for a single location only.

  • For now: control this operationally — decide who has the tile on their register and who's trained to use it.
  • Planned: an admin screen to grant the "collect payment" capability per user and scope it to a company or a single location.

Troubleshooting

What you see

What it usually means

Tile says "Upgrade required"

No active plan. Subscribe on the OnAccount Plans page.

Tile says "Requires Shopify Plus"

The store isn't on Shopify Plus. Company payments need Plus-only manual payments and saved cards, so the tile stays disabled until the store is on Plus.

Tile says no outstanding orders, but you expected some

Balances may still be catching up, or those orders aren't unpaid B2B orders for this company. Give it a moment and re‑open.

A location's orders are skipped in card mode

No saved card on file for that location. Use manual or invoice instead.

Manual payment didn't attach to the right method

The name you typed doesn't exactly match a method in Shopify admin → Settings → Payments → Manual payment methods. Fix it under Manual payment methods.

Card charge fails

The gateway declined or the saved card expired. The gateway's message is shown — retry or use another method.

A "partial capture" warning appears

An earlier partial payment is still settling. Collecting the remainder may need support.
